Information you provide
We collect your name, email address, phone number and the information you include when you contact us. Journey enquiries may include pickup and destination addresses, travel dates, flight details, passenger numbers and luggage requirements. Please only provide information needed to arrange your journey, and ensure you are entitled to share details about other passengers.
Driver applications include contact details, town or city, licensing status and, if supplied, licensing authority, vehicle information, experience and availability. Please do not send identity documents, licence numbers, bank information or sensitive personal details through the application form. Any later verification will be discussed separately.
How and why we use information
We use enquiry and booking information to respond to requests, prepare quotations and arrange or provide journeys. Where this is necessary to take steps you request before a contract or to perform a contract, that is our lawful basis. We also have legitimate interests in managing general correspondence, reviewing driver expressions of interest, protecting our website and resolving complaints. We consider the effect on your privacy when relying on these interests.
We may retain information to comply with applicable legal and accounting obligations. Where we rely on consent for an optional activity, you can withdraw it by contacting us. Acknowledging this notice on a form does not subscribe you to marketing. We do not make decisions about driver applications solely by automated means.
Website operation and cookies
Our hosting and security systems may process IP addresses, request times and technical information to deliver the website and prevent abuse. This website uses an essential administrator session cookie for secure access to the management panel. The core website does not set analytics or advertising cookies. Contact and driver forms use server-side abuse controls.
Booking, maps and external links
Your privacy choices are stored on your device for 180 days. Change them at any time using Cookie settings in the footer. EasyTaxiOffice booking and customer account forms connect only after you allow booking services or choose Load booking form or Load customer account. Google route maps connect after you allow maps and choose to load a map. Those providers may receive your IP address and browser information and may use cookies. Review the privacy information offered by the booking provider and Google before continuing. Opening external directions or WhatsApp also connects you to an external service. We do not receive full payment card details through our contact or driver application forms.
Who can receive your information
Access is limited to people who need the information to deal with your request or provide the service. This may include our authorised team, assigned drivers, hosting and email providers, booking and payment providers, professional advisers and authorities where disclosure is legally required. Driver application notifications are sent to our company email inbox and a copy is kept in the restricted administration panel. We do not sell personal information.
Storage, retention and international processing
We keep information for as long as it is reasonably needed for the purpose it was collected. The period depends on whether an enquiry becomes a booking or working relationship, whether a complaint or dispute remains open, and any legal or accounting recordkeeping duties. Driver enquiry information is reviewed in light of the application outcome and whether an ongoing discussion is needed. Contact us for information about the retention criteria applied to your record.
Hosting, email or external service providers may process information outside the UK. Where we arrange a restricted international transfer, appropriate legal safeguards are required, such as an applicable adequacy decision or approved contractual safeguards. Your rights and your right to object
